  • Provides professional administrative support to the Legal Department, such as maintaining department files and calendars, scheduling appointments, making travel arrangements, and expense reporting.  Focuses on anticipating the administrative needs of the assigned attorneys and paralegals to ensure efficiency in their day to day completion of legal activities.
  • Performs broad range of legal secretarial and clerical duties that require basic knowledge of legal procedures, terminology, and document formats of a legal nature including contracts, briefs, summonses, complaints, and motions.
  • Organizes and maintains files relating to litigation, regulatory, and administrative matters under direct supervision of attorneys.
  • Engages in highly professional interaction by telephone and email with executive management, attorneys, outside counsel, customers, and witnesses. 
  • Assists in overseeing department programs by reviewing forms and documents for compliance with operational policies and procedures. 
  • Administers the legal billing process, including initial receipt and review of bills, seeking proper attorney approval, payment coordination with Finance, and monthly/annual tracking and reporting.
  • Researches legal, financial, and operational questions, provides recommendations or conclusions regarding findings, and assists with determining course of action to take.
  • Performs and coordinates a variety of special projects and programs involving internal and external staff that require independent and creative thinking.
  • Performs other duties as assigned.

EXPERIENCE REQUIREMENTS:

  • Four to seven years of administrative or secretarial experience supporting attorneys in a fast paced law firm or corporate legal department.

 

EDUCATIONAL REQUIREMENTS:

  • Bachelor's degree required.
  • Some graduate coursework is preferred

 

SKILL REQUIREMENTS:

  • Effective oral and written communication skills with attention to grammar, spelling and punctuation.
  • Providing a broad range of administrative support to attorneys and paralegals in Legal Department.
  • Researching legal issues;
  • Serving as a liaison to internal and external staff;
  • Coordinating multiple programs and projects;
  • Working with multiple layers of management;
  • Developing and analyzing departmental reports;
  • PC skills; Microsoft Office applications (Word, Excel, PowerPoint, Outlook); and other applications as required;
  • Communicating with co-workers to provide and receive direction
