Reporting to the Director of Alumni Relations, the Assistant Director works to meaningfully engage alumni, friends, and the broader community in the life of Stanford Law School. The Assistant Director is responsible for managing 3-4 regional law chapters and other alumni communities as assigned. They Assistant Director will also manage event logistics for major programs and events hosted by External Relations and assist as an event consultant for student organizations.

Responsibilities:

• Identify, recruit, train, and manage volunteers for 3-4 regional law chapters.
• Work with Director, Associate Directors, and Major Gift Officers to create and implement innovative regional programming.
• Track current alumni volunteers and identify/recruit new volunteers for various opportunities.
• Implement and manage overall logistics, timelines, vendor contracts, and budgets for major External Relations events and programs including Alumni Weekend, the Board of Visitors meeting, regional law chapter events, professorship dinners, student events, and other special events as they arise. Produce final income/expense statement and logistics assessment for each program.
• Create master budget for Alumni Weekend showing the cost breakdown for each event and vendor. Work with the Director to determine par levels for each expenditure and obtain overall budget approval.
• Ensure timely submission of event-related invoices and resolve billing disputes
• Assist the Program Support Group with Stewardship events and programs.
• Direct a broad-based set of communications strategies. Oversee design, production, and distribution of all promotional materials, including but not limited to print brochures, special invitations, print media, e-mail newsletters, and online marketing, working closely with Communications staff to ensure continuity of print materials with on-line presence.
• With the assistance of the Alumni Relations Assistant, develop and implement social media strategy. Manage External Relations social media outlets.
• Respond to front line alumni inquiries and requests during peak activity periods.
• Maintain central event files and oversee internal invitation distribution to Dean, faculty and staff.
• Coordinate production of collateral program materials, nametags, tent cards, seating and place cards for various programs and events.
• Maintain program and event supplies inventories.

• 3-5 years of experience in event planning, including managing timelines, catering, AV set-up, collecting bids, budgeting, communications, and marketing (university environment preferred).
• Experience managing volunteers and programs in a University environment preferred.
• Proven ability to plan, implement, and manage high-level events across a broad range of audiences.
• Outstanding customer service skills.
• Demonstrated ability to produce and manage budgets.
• Expertise in developing communications for various audiences and types of media, including print, web, social media and email.
• Excellent oral and written communications skills; ability to serve as an effective and persuasive representative of Stanford Law School.
• College degree required.
• Self-starter who can work well as a member of a diverse team; must be enthusiastic, flexible, graceful and effective under pressure, discreet, and diplomatic.
• Organized and efficient; ability to prioritize multiple tasks and projects; acute attention to detail without losing sight of the big picture; creative problem solver.
• Energy, initiative, creativity, drive, and a sense of humor.
• Familiarity with Stanford systems is a plus; knowledge of database and spreadsheet applications required; knowledge of HTML a plus.
• Ability to work occasional evenings and weekends; willing and able to lift up to 35 pounds on occasion.
