The Student Services Specialist in Stanford Introductory Studies (SIS) fulfills a key position on an administrative team dedicated to ensuring a vibrant intellectual experience for each new undergraduate class of students entering Stanford. The Student Services Specialist collaborates with team members and staff throughout SIS to provide support for the instructors who teach in SIS programs and the students enrolled in SIS courses. The Student Services Specialist plans, schedules, enrolls students in, and monitors program courses; supports student enrollment needs in relation to both overall processes and individual problem-solving; and provides a range of administrative support.
The Student Services Specialist primarily supports the Program in Writing and Rhetoric (PWR), a three-part requirement that fulfills Stanford’s commitment to helping students develop as writers, speakers, and researchers during their undergraduate years. In this role the Student Services Specialist works closely with the Co-Director of SIS and the Associate Director and Faculty Director of PWR.
CORE DUTIES*:
* Process day to day transactions related to course administration (PeopleSoft SA) and student enrollment (VCAPWR).
* Collect, gather and validate data for both instructor classroom scheduling and student enrollment preferences.
* Coordinate and perform administrative operations related to student enrollment processes each quarter for SIS courses and scheduling of all courses and classrooms using the Registrar’s electronic scheduling system.
* Creates electronic databases to support program needs for data storage and retrieval. Inputs and maintains accurate program data, designs queries, and prepares formatted reports as requested. Updates database design and reporting capabilities in support of program needs.
* Research and resolve routine and complex issues related to program planning, student assignments, optimization of enrollment targets, instructional course load and course offerings.
* Respond to inquiries from students, faculty, external constituents, and staff, serving as main point of contact for PWR course administration support, policy advisement, and program timelines.
* Monitors records of all incoming freshmen, continuing sophomores, and transfer students to ensure PWR requirement is fulfilled.
* Supports SIS Co-Director with initial analysis of enrollment trends.
* Supports SIS Co-Director with maintaining Writing in the Major (WIM) communications with department chairs and individual WIM faculty.
* Collaborates with team members to facilitate sharing of information, finding opportunities for continuous improvement, and aligning efforts in support of organizational goals.
* Maintains SIS program website. Regularly monitors pages and makes content updates.
* Coordinate logistics for outreach activities, meetings, and events.
* Contribute to general office administration and process improvements.
* May train and direct day to day activities of student and temporary workers.
Two year college degree and one year of relevant experience, or combination of education and relevant experience.
Knowledge, Skills and Abilities:
* 2 year’s experience collecting data and designing queries and reports using electronic databases
* Knowledge of student affairs and familiarity with the operations of a college or university, its mission and business objectives, and practices (or equivalent professional experience)
* Solid computer skills, including experience with Microsoft Office Suite; experience with Microsoft Access or SQL preferred
* Customer service skills
* Ability to learn compliance with legal, financial, and university policies and external regulations
* Exceptional organizational skills and acumen, with the ability to manage multiple tasks, prioritize, and complete assignments within designated deadlines
