The Clayman Institute for Gender Research seeks a Program Administrator, with a focus on financial administration and facilities management. This is a full-time position with a goal to start work in March 2013. The program administrator must be organized, efficient at establishing processes, and able to manage a number of contributors. The Program Administrator must be able to keep projects on track and support the director, associate director and program manager so that they can continue to build the program.

Finance: 50%

The Clayman Institute collaborates with a number of programs, departments and centers across campus – and the Program Administrator must coordinate financial transactions across units and also with a number of visitors, speakers and suppliers. Our finances require a thorough understanding of fund accounting, including endowments, designated and general gifts, contributions, and research accounts. The Program Administrator is responsible for processing, recording and reconciling all financial transactions. This requires a basic understanding of financial terms such as payees, contracts, accounts payable, accounts receivable. All transactions will be processed using Oracle Financials, including ReportMart3 and Labor Schedules. Our finances utilize PCards, fund transfers, invoices, contracts and service agreements. The Program Administrator will complete the monthly reconciliation, providing a monthly expense update, and support the year-end close and budgets.

Facilities and IT: 25%

The Program Administrator will oversee the facilities management of Serra House. The duties include keys and key code management, ordering office and kitchen supplies, entering maintenance requests, keeping emergency plans updated, and any other tasks related to the upkeep and running of Serra House. The Program Administrator will also oversee our IT infrastructure. They will be the primary contact with the IT department, as well as assist staff with any IT issues (computer, printer, phone) they may encounter.

General Administrative Support: 25%

The Program Administrator will provide administrative support such as calendaring, answering phones, mailings, and also give general support to the Director, Associate Director, and Program Manager.

Qualifications:
Excellent time management and the ability to set priorities and handle multiple projects simultaneously in a fast-paced environment. Strict attention to detail and ability to perform reliably error-free work.

Excellent organizational, interpersonal, and communication skills. Demonstrated effective oral and written communication skills.. Good judgment and sensitivity to confidential information. High energy level, enthusiasm, sense of humor, and flexibility. Honesty, positive attitude, and willingness to help a must.

High proficiency in Microsoft Office Suite: Word, PowerPoint, with particular focus on Excel. The ability to adapt quickly to other computer applications such as Constant Contact or Mailman. Comfort with the web is required.

Experience with Oracle Financials (PCard, Invoices, ReportMart 1 & 3), contracts, and Axess is highly desired.
