Administrative Associate (six month fixed term)
Stanford Management Company (SMC) is seeking qualified candidates for the position of Administrative Associate. SMC, a division of Stanford University, was established in 1991, and is responsible for managing the University’s endowment and trust assets and temporarily invested expendable funds. The majority of the University’s endowment assets are invested in a diversified portfolio of actively managed financial and real estate assets, deployed through external investment managers.
This position will report the Executive Assistant to the CEO and will support the Office of the CEO and other SMC teams in a variety of administrative capacities. This position requires keen awareness of organizational realities and interpersonal skills to relate and communicate with all levels within the university. The Administrative Associate must, at all times, exercise good judgment and direction in carrying out his/her responsibilities.
RESPONSIBILITIES
• Cover phones for the Office of the CEO and maintain daily call log
• Help ensure seamless reception/front desk coverage by providing relief coverage of the front desk on a regular and/or ad-hoc basis
• Sort and distribute mail and packages to appropriate parties; prepare UPS, Federal Express and UPS/mail packages
• Maintain and order office and kitchen supplies
• Assist in materials preparation for a variety purposes including compiling and delivering Board materials
• Scan business cards and maintain contact database
• Assist with coordination and planning of events (reserving rooms and ordering catering for events on campus; assisting in event set-up)
• Organize ground transportation and secure hotel reservations
• As needed, plan and schedule calendar(s) based on consultation with all relevant parties. Proactively resolve calendaring conflicts
• Support hard copy filing system
PROFILE
The ideal candidate would have the following background:
• High school diploma and three to five years of administrative experience, or combination of education and relevant experience
• Proficient computer skills and demonstrated experience with Microsoft Office applications and other general office applications
• Excellent organizational skills and attention to detail
• Excellent verbal and written communication skills
• Excellent customer service and interpersonal skills
• Ability to prioritize, multi-task, and work with a high degree of self-motivation
• Ability to take initiative and ownership of projects
• Ability to routinely and independently exercise sound judgment in making decisions
